HEA Bookshop – Website Terms & Conditions

Introduction
These Terms & Conditions govern your use of the HEA Bookshop website, any purchases made through it, and related services. HEA Bookshop Ltd (Company Number 16691437), registered in England & Wales, trades as HEA Bookshop. By accessing our website or placing an order, you agree to be bound by these Terms & Conditions.

1. General
• All orders are subject to availability and confirmation of price.
• We reserve the right to amend these Terms at any time.
• The version in force at the time of your purchase will apply.

2. Ordering & Payment
• Orders must be placed via our online checkout.
• Payment must be received in full before goods are dispatched.
• All prices are displayed in GBP (£) and include VAT where applicable.
• We reserve the right to cancel any order due to pricing errors or stock discrepancies.

3. Dispatch & Delivery
UK Shipping:
• 48-hour tracked shipping for all UK deliveries.
• Tracking details will be provided once dispatched.

International Shipping:
• Estimated delivery 5–7 working days, depending on destination and customs.
• Delivery timeframes are estimates, not guaranteed.

4. Pre-Orders & Combined Orders
• Orders containing pre-order items will be held and dispatched together when the pre-order becomes available.
• Items ordered alongside a pre-order will not be sent separately.
• To receive items sooner, place separate orders.

5. Consumer Rights & Cancellation (UK Customers)
Right to Cancel:
• You may cancel an order within 14 days of receiving your goods.
• Notify us at 📧 info@heabookshop.com to exercise this right.

Refunds:
• Processed within 14 days of receiving returned goods or proof of return.
• Refund covers goods cost and standard outbound delivery (where applicable).
• Return shipping costs are your responsibility unless the item is faulty or incorrect.

Deductions:
• Refunds may be reduced if goods show handling beyond what is necessary to check nature, characteristics, and function.

6. Returns & Refunds Policy
Non-Faulty Returns:
• Items must be unused, in original condition and packaging.
• Damaged items due to customer handling are not accepted.
• Original shipping costs are non-refundable unless required by law.

Faulty, Damaged, or Incorrect Items:
• Notify us within 48 hours of delivery with photographic evidence.
• We may offer a replacement before issuing a refund.

Signed & Limited Editions:
• Minor cosmetic imperfections do not automatically qualify as faults.
• Each case will be assessed individually.

E-Books & Digital Content:
• Content is supplied immediately; once downloaded, cancellation rights are lost unless faulty.
• E-books are non-refundable once accessed.

7. International Orders & Customs
• Customers are responsible for customs duties, VAT, import taxes, or handling fees.
• Refused or returned deliveries may result in deduction of shipping and additional costs from refunds.
• Proof of dispatch and delivery is considered fulfilment.

8. Intellectual Property
All website content, including text, images, branding, and logos, is the property of HEA Bookshop Ltd or used with permission. Unauthorized use is prohibited.

9. Accuracy, Completeness & Timeliness
We are not responsible for inaccurate, incomplete, or outdated information. Users should verify product details independently where necessary.

10. Modifications to Services & Prices
• Prices and availability are subject to change without notice.
• We reserve the right to modify or discontinue services or products without liability.

11. Force Majeure
We are not liable for delays or failures caused by events beyond our control, including postal delays, industrial action, supply chain issues, customs, extreme weather, government restrictions, public health emergencies, or power/IT failures.

12. Limitation of Liability
We are not liable for indirect, incidental, or consequential losses. Liability is limited to what cannot legally be excluded, including death or personal injury caused by negligence.

13. User Obligations
• Users must be of legal age and may not use our products or services illegally.
• No transmission of harmful code, viruses, or malicious software is permitted.
• Breach may result in immediate termination of service.

14. Third-Party Tools & Links
• We may provide access to third-party tools and links.
• Use is at your own risk, and we are not responsible for third-party content, policies, or practices.

15. User Submissions & Comments
• We may use any comments, suggestions, or submissions you provide at our discretion.
• You may not submit content that infringes on rights or contains harmful materials.

These Terms are governed by the laws of the United Kingdom.

We may update these Terms at any time. Your continued use indicates acceptance of changes.

By purchasing a ticket and/or attending HEA FEST 2027 (“the Event”), you agree to be bound by these Terms & Conditions.


1. The Organiser

HEA FEST 2027 is organised by HEA Bookshop Ltd, registered in England & Wales (Company Number 16691437). References to “we”, “us”, or “the Organiser” refer to HEA Bookshop Ltd.


2. Event Overview

2.1 HEA FEST 2027 is a multi-day romance reader festival taking place across indoor and outdoor spaces at Aintree Racecourse.
2.2 The Event will include, but is not limited to:
• Author signings featuring approximately 400 authors across the weekend
• Headlining authors (subject to change)
• Author panels and Q&A sessions
• A pop-up bookshop operated by Happily Ever After Bookshop
• Community meetups and reader spaces
• Entertainment including fair rides, carnival stalls, games, and live music
• Food vendors and a covered food hall

2.3 The Event is designed as a full weekend experience. All features, attractions, and programming are subject to change in accordance with Clause 8.


3. Ticket Purchase & Contract

3.1 A binding contract is formed once payment has been successfully processed and confirmation issued.
3.2 Tickets remain the property of the Organiser at all times.
3.3 Tickets may not be resold for commercial gain.
3.4 Tickets are strictly non-refundable except where required by law.
3.5 Tickets cannot be upgraded, exchanged, or amended after purchase.
3.6 The Organiser reserves the right to cancel tickets purchased in breach of these Terms without refund.
3.7 The event is for 18+ due to adult content on the table. 


4. Admission & Arrival

4.1 Entry times will vary depending on ticket type and method of arrival.
4.2 Attendees must adhere to their allocated arrival time. Early entry is not guaranteed.
4.3 Access to specific areas, including the signing hall, will only be permitted at the time stated on the ticket.
4.4 The Organiser reserves the right to amend entry procedures where necessary for operational or safety reasons.


5. Venue Rules & Regulations

5.1 All attendees are subject to:
• These HEA FEST Terms & Conditions
• Any additional event policies issued by the Organiser
• The rules, regulations, and entry conditions of Aintree Racecourse (the “Venue”)

5.2 Venue regulations take precedence where applicable.
5.3 Failure to comply may result in refusal of entry or removal without refund.
5.4 The Organiser is not responsible for decisions made by the Venue.


6. Admission & Wristbands

6.1 Where applicable, tickets must be exchanged for an official Event wristband.
6.2 Wristbands must be worn securely at all times while onsite.
6.3 Removal, tampering, transfer, or damage may invalidate entry.
6.4 Lost wristbands will not be replaced.


7. Identification & Age Policy

7.1 Valid photographic ID may be required.
7.2 A Challenge 25 policy may be in operation.
7.3 Entry may be refused where suitable identification is not provided.


8. Event Programming & Changes

8.1 All advertised authors, guests, vendors, entertainment, and schedules are subject to change at any time.
8.2 The Organiser reserves the right to alter any aspect of the Event, including layout, timings, programming, and features, where reasonably necessary.
8.3 The cancellation, withdrawal, or unavailability of any author, including headlining authors, shall not constitute grounds for a refund, exchange, or compensation.
8.4 Attendees acknowledge that the Event is a dynamic live event and elements may evolve before or during the Event.


9. Refunds, Transfers & Cancellations

9.1 All tickets are strictly non-refundable except where required by law.
9.2 If you are unable to attend, no refund will be issued.
9.3 Tickets may only be transferred or resold in accordance with any official process communicated by the Organiser.
9.4 Tickets cannot be upgraded, changed, or exchanged after purchase.
9.5 The Organiser is not responsible for any associated costs including travel, accommodation, or third-party expenses.
9.6 If the Event is fully cancelled and not rescheduled, a refund of the face value of the ticket will be offered.
9.7 If the Event is postponed, tickets will remain valid for the new date. Refunds will be at the Organiser’s discretion.


10. Camping Terms

10.1 Camping tickets provide access only to a designated pitch area.
10.2 The Organiser provides space only and does not supply equipment unless explicitly stated.
10.3 Attendees are fully responsible for their own camping equipment and setup.
10.4 Camping is undertaken entirely at the attendee’s own risk.
10.5 The Organiser reserves the right to amend camping arrangements at any time.


11. Event Layout & Accessibility

11.1 The Event is primarily held indoors, with some outdoor elements including fairground attractions.
11.2 Temporary flooring and pathways may be installed to support accessibility.
11.3 Accessible facilities including toilets, showers, seating areas, and medical support will be available.
11.4 Accessibility provisions are subject to venue limitations and operational requirements.


12. Parking & Travel

12.1 On-site parking may be available subject to availability and may require pre-booking.
12.2 Charges may apply.
12.3 Transport information provided is for guidance only and may change.


13. Behaviour & Code of Conduct

13.1 The Event is intended to be a respectful and inclusive environment.
13.2 Unacceptable behaviour may result in removal without refund.


14. Prohibited Items & Security

14.1 Prohibited items include (but are not limited to):
• Illegal substances
• Weapons
• Fireworks or flares
• Drones
• Glass containers
• Unauthorised professional recording equipment

14.2 Security searches may be conducted at any time.
14.3 Refusal to comply may result in refusal of entry or removal.


15. Photography & Media

15.1 The Event may be recorded for promotional purposes.
15.2 By attending, you consent to being included in such content.


16. Personal Property

16.1 The Organiser accepts no responsibility for loss or damage to personal belongings.


17. Force Majeure

17.1 The Organiser shall not be liable for disruption caused by events beyond reasonable control.
17.2 Refunds in such circumstances are not guaranteed and remain at the Organiser’s discretion.


18. Limitation of Liability

18.1 Nothing excludes liability where it cannot legally be excluded.
18.2 The Organiser is not liable for indirect or consequential losses.


19. Governing Law

These Terms are governed by the laws of England & Wales.

The HEA Society – Membership Terms & Conditions

1. Membership

The HEA Society is a subscription-based membership programme operated by HEA Bookshop.

Membership is available for £4.99 per month and includes a free first month for new members only. By joining The HEA Society, you agree to these Terms & Conditions.

2. Membership Benefits

Active members are entitled to the following benefits:

  • £3 off eligible new books and pre-orders purchased through HEA Bookshop website only.
  • One free ticket per calendar month to an eligible HEA Bookshop pop-up event.
  • Early access to selected pre-orders.
  • Automatic entry into monthly member book giveaways.
  • One free birthday book, subject to eligibility requirements outlined below.

Membership benefits are non-transferable and may only be used by the registered member.

3. Minimum Membership Term

Membership is subject to a minimum commitment period of six (6) months.

Members may cancel at any time; however, cancellation will take effect at the end of the six-month minimum term. No partial refunds will be provided for unused membership periods.

4. First Month Free Offer

The first month free offer is available to new members only.

HEA Bookshop reserves the right to withdraw or amend this promotion at any time.

5. Book Discount

The £3 discount applies only to eligible new books and pre-orders purchased directly through HEA Bookshop website.

The discount:

  • Cannot be combined with other discount codes or promotional offers unless otherwise stated.
  • Has no cash value.
  • Cannot be applied retrospectively to previous purchases.

HEA Bookshop reserves the right to exclude specific products, special editions, or promotions from the discount programme.

6. Free Event Ticket

Members are entitled to one free ticket per calendar month to participating HEA Bookshop pop-up events.

Tickets:

  • Must be claimed while membership is active.
  • Are subject to availability.
  • Cannot be exchanged for cash, credit, or alternative events.
  • May not be transferred or resold.

Certain events may be excluded at HEA Bookshop's discretion.

7. Early Access

Early access to pre-orders is offered at HEA Bookshop's discretion and may vary by title, publisher availability, and event requirements.

Early access does not guarantee availability of any product.

8. Monthly Giveaway

Active members will be automatically entered into any monthly member-exclusive book giveaway.

Winners will be selected at random and contacted using the details provided with their membership.

Prizes are non-transferable and cannot be exchanged for cash or alternatives.

9. Birthday Book Benefit

Members are eligible to receive one free birthday book each year provided that:

  • Their membership has been active and in good standing for at least three (3) consecutive months immediately prior to their birthday.
  • Membership remains active at the time the birthday benefit is redeemed.
  • The birthday falls during an active membership period.

HEA Bookshop reserves the right to determine the format, title selection, and redemption process for the birthday book.

The birthday book benefit is limited to one redemption per member per year and has no cash value. It is only suitable for UK resident's. 

10. Changes to Membership Benefits

HEA Bookshop may amend, replace, suspend, or withdraw membership benefits where reasonably necessary.

Where significant changes are made, members will be notified via email or through the HEA Bookshop website.

11. Cancellation and Termination

Members may cancel their subscription after the six-month minimum term.

HEA Bookshop reserves the right to suspend or terminate membership where a member:

  • Misuses membership benefits.
  • Shares membership benefits with others.
  • Breaches these Terms & Conditions.

No refunds will be issued where membership is terminated due to a breach of these Terms.

12. Liability

HEA Bookshop will not be liable for any indirect or consequential loss arising from participation in The HEA Society membership programme.

Nothing in these Terms excludes liability that cannot legally be excluded under applicable law.

13. General

HEA Bookshop reserves the right to amend these Terms & Conditions at any time.

Continued membership following any changes constitutes acceptance of the updated Terms & Conditions.
